This Privacy Policy describes how Holomovement ("Holomovement," "we," "us," or "our") collects, uses, and shares personal information in connection with the Holomovement membership platform — including member profiles, the searchable directory, holons (groups), direct messaging, community visualizations, and related features (together, the "Service").

This Policy applies specifically to the Service. For information about our main website (holomovement.net), see our main website Privacy Policy.

By creating an account or using the Service, you acknowledge that you have read and understood this Privacy Policy.

1. Who we are

2. Information we collect

2.1 Information you provide

Account information. When you sign up, we collect your email address and a password. Passwords are stored as salted hashes; we cannot read them.

Profile information. When you create or edit your member profile, we collect the information you choose to share, which may include:

  • Name, tagline, biography, and profile photograph (avatar)
  • Banner image (uploaded by you, or generated by AI at your request — see Section 5)
  • Company, role, and purpose
  • Location (a free-text location string, which we geocode to approximate latitude/longitude coordinates for display on the community map and globe)
  • Social links
  • Domains, tags, and seeking/offering information (both free-text descriptions and structured tag selections)
  • Skill ratings (on a 1–100 scale)
  • Holon (group) memberships, including roles within them

Content you create. Direct messages, holon pages you create, feature requests, and other content you post through the Service.

Payment information. If you purchase a paid feature, our payment processors (Stripe and PayPal) collect your payment details. We do not store full payment card numbers on our servers. We receive limited billing information from our processors (for example, your name, transaction ID, the last four digits of the card, and the amount).

2.2 Information collected automatically

  • IP address, browser type, operating system, device type, and time zone
  • Pages visited, features used, and timestamps
  • Cookies and similar technologies (see Section 8)

2.3 Information we generate

  • AI-generated content based on inputs you provide (banner images, suggested taglines, seeking/offering summaries, and structured seeking/offering ("SO") tag classifications — see Section 5)
  • Approximate latitude/longitude coordinates derived from your free-text location

3. How we use information

We use the information we collect to:

  • Operate the Service — including authentication, profile display, the directory, holons, messaging, and visualizations
  • Show your profile and contributions to other authenticated members through features you choose to participate in
  • Generate AI-assisted profile elements (see Section 5)
  • Process payments and provide paid features
  • Communicate with you about your account, product updates, and support
  • Enforce our Terms of Service, investigate abuse, and protect the rights, safety, and property of Holomovement and our members
  • Comply with legal obligations

Legal bases (EEA / UK users). We rely on: performance of a contract (providing the Service you signed up for), legitimate interests (security, fraud prevention, improving the Service), consent (for optional AI processing, marketing communications, and non-essential cookies), and legal obligation.

4. How we share information

4.1 With other members

By default, the information in your member profile is visible to other authenticated members through the directory, community globe, and similar features. This includes your name, photo, tagline, bio, skill ratings, approximate location, and seeking/offering information.

Holon pages you create have a visibility setting (public, private, or hidden) that you control at creation and can change.

4.2 Service providers

We share personal information with vendors that help us operate the Service, under contracts that restrict their use of the information to providing services to us:

4.3 Legal and safety

We may share information when we believe in good faith that disclosure is necessary to:

  • Comply with a subpoena, court order, or other legal obligation
  • Enforce our Terms of Service
  • Protect the rights, property, or safety of Holomovement, our members, or the public
  • Investigate fraud, security incidents, or violations of our policies

4.4 Business transfers

If Holomovement is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to this Policy or a successor policy.

4.5 What we do not do

We do not sell your personal information for monetary consideration, and we do not share your personal information for cross-context behavioral advertising.

5. AI and automated processing

The Service uses AI to enhance your profile:

  • Banner image generation (Google Gemini) — creates banner images from your profile content when you request one
  • Tagline generation (Anthropic Claude) — suggests a tagline from your profile description
  • Seeking/offering summaries (Anthropic Claude) — generates concise summaries from your free-text seeking and offering fields
  • SO tag classification (Anthropic Claude) — categorizes your free-text seeking and offering into structured tags, and may propose new tag categories that our team reviews before they are exposed to other members

When you submit profile information for AI processing, the relevant text (and, for banner generation, related prompts) is sent to Anthropic and/or Google through our n8n workflows. Under the applicable business terms with these providers, your content is not used to train their models.

AI outputs may be inaccurate, incomplete, or reflect biases. You can review, edit, or remove any AI-generated content from your profile, and you can decline to use optional AI features (for example, banner regeneration).

No legally or similarly significant decisions about you are made solely by automated means.

6. Data retention

We retain your personal information while your account is active. If you delete your account, we will delete or anonymize your profile information within a reasonable period (generally within 30 days), except where we are required to retain it by law (for example, tax and transaction records for paid purchases) or where retention is necessary for legitimate business purposes such as fraud prevention, security, or dispute resolution.

Direct messages you have sent may be retained to preserve the conversation history of recipients after your account is deleted.

Backups are retained on a rolling basis and overwritten over time.

7. Your rights

Depending on where you live, you may have the following rights with respect to your personal information:

  • Access — request a copy of the personal information we hold about you
  • Correction — request correction of inaccurate information (most profile fields can be edited directly in the Service)
  • Deletion — request deletion of your account and personal information
  • Portability — request a machine-readable copy of information you provided to us
  • Objection or restriction — object to or restrict certain processing (EEA/UK)
  • Withdraw consent — withdraw consent for processing that is based on consent
  • Opt out of "sale" or "sharing" — although we do not engage in these practices, California residents retain this right

To exercise any of these rights, email hello@holomovement.net. We will respond within the timeframe required by applicable law. We may ask for information to verify your identity before fulfilling a request.

EEA/UK residents may also lodge a complaint with their local data protection authority.

8. Cookies and similar technologies

We use cookies and similar technologies to:

  • Keep you signed in (session cookies)
  • Remember your preferences
  • Measure aggregate use of the Service

You can control cookies through your browser settings. Blocking essential cookies may prevent parts of the Service from functioning.

We do not use third-party advertising trackers or cross-site advertising cookies.

9. Security

We use encryption in transit (HTTPS) and at rest where appropriate, access controls, and authentication mechanisms to help protect your information. No internet transmission or electronic storage is completely secure, and we cannot guarantee absolute security.

If we become aware of a security breach affecting your personal information, we will notify you and the appropriate authorities as required by law.

10. International data transfers

Our service providers are located primarily in the United States. If you access the Service from outside the United States, your information will be transferred to, stored, and processed in the United States and other countries where our providers operate. Where required (for example, for data transferred from the EEA or UK), we rely on standard contractual clauses or equivalent safeguards.

11. Children

The Service is intended for users 18 years of age or older. We do not knowingly collect personal information from anyone under 18. If we learn we have collected personal information from a person under 18, we will delete it. If you believe a minor has provided us with personal information, please contact hello@holomovement.net.

12. Changes to this Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page and, for material changes, provide additional notice (for example, by email or a notice in the Service) before the changes take effect. Continued use of the Service after the effective date means you accept the updated Policy.
